Payment and Refund Policy

Last updated: 15 October 2026

Scope of the Policy and Services Covered

This Payment and Refund Policy applies to all bookings and purchases made through the website operated by reportoxi for specialised training courses in live production decks and control rooms. These courses cover multi-camera switching, live broadcasting techniques, real-time video operation, and professional management of television and streaming productions. The policy covers both in-person and online course formats delivered to customers based in the United Kingdom. It explains how payments are handled, when contracts are formed, and the circumstances under which refunds or cancellations may be granted. This document does not cover services provided by third-party platforms or external training partners unless explicitly stated in your booking confirmation.

Prices, Currencies, Taxes and Additional Charges

All course fees are quoted in British Pounds Sterling (GBP). Prices displayed on the website include value added tax (VAT) at the prevailing UK rate unless otherwise indicated. Additional charges may apply for optional extras such as printed course materials, extended access to recorded sessions, or on-site accommodation if offered. Any such extras will be itemised separately during the booking process. reportoxi reserves the right to adjust prices at any time, but changes will not affect bookings already confirmed and paid for. Currency conversion fees charged by your payment provider are your responsibility and are not included in the displayed price.

Accepted Payment Methods, Authorisation and Security

We accept payment by major credit and debit cards, bank transfer, and other secure electronic payment services as shown at checkout. All card payments are processed through a PCI-DSS compliant payment gateway that encrypts your details. When you submit payment information, an authorisation hold may be placed on your card until the transaction is completed. reportoxi does not store full card numbers. If you choose to pay by bank transfer, full payment must be received within seven days of booking confirmation or the reservation may be cancelled. You will receive an email receipt once payment has cleared.

Order Confirmation, Contract Formation and Booking Process

A contract is formed only when we send you a written booking confirmation by email after receiving your completed order and full payment or a valid deposit. Until that confirmation is issued, no binding agreement exists. The confirmation will detail the course dates, location or access instructions, total amount paid, and any special terms. You should check this confirmation immediately and contact us if any details are incorrect. Acceptance of these terms occurs when you complete the booking form and proceed to payment.

Cancellation Rights and Applicable Periods

Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, you have the right to cancel most distance contracts within 14 days of receiving confirmation without giving a reason. For courses starting within this 14-day period, cancellation rights may be limited if you have already accessed digital materials or attended sessions. You must notify us of cancellation in writing within the cooling-off period. If you cancel after this period or after the course has begun, standard refund eligibility rules apply instead. Cancellations must be sent to [email protected] or via the contact form on our Contacts page.

Refund Eligibility, Exclusions and Non-Refundable Items

Refunds are available for cancellations made more than 30 days before the course start date, subject to an administration fee of ten percent of the total fee. No refunds are provided for cancellations within 14 days of the start date, for missed sessions, or for partial attendance. Digital course materials, recorded content, and any promotional bundles are non-refundable once accessed or downloaded. If a course is cancelled by reportoxi due to unforeseen circumstances such as instructor illness or venue issues, you will be offered either a full refund or a transfer to an alternative date at your choice. Refunds are not granted for changes in personal circumstances, travel disruptions, or failure to meet course prerequisites.

Step-by-Step Procedure to Request a Refund

To request a refund, send a clear written request to [email protected] or submit it through the contact form on the Contacts page. Your request must include your full name, booking reference number, course title, original payment date, and the reason for the request. You should also provide bank details if you wish to receive the refund by transfer. We will acknowledge receipt of your request within two working days. Incomplete requests will be returned for additional information, which may delay processing.

Inspection, Approval, Rejection and Notification of Decisions

Upon receiving a complete refund request, our team will review it against this policy within ten working days. You will receive written notification of the decision by email, stating whether the request is approved, partially approved, or rejected, together with reasons and the amount to be refunded if applicable. If rejected, you may appeal once by providing further evidence within seven days. All decisions are final after the appeal stage. We aim to treat every request fairly while protecting the integrity of our training programmes.

Refund Method, Processing Time and Receipt of Funds

Approved refunds will be returned using the original payment method wherever possible. Credit or debit card refunds typically appear on your statement within five to ten working days, although some banks may take longer. Bank transfer refunds are processed within seven working days of approval. If more than 30 days pass without receipt of funds after approval, please contact [email protected] so we can investigate. Refunds for bank transfers will be sent to the account details you supplied in your request.

Special Rules for Digital Content, Subscriptions and Services

Many of our courses include access to online video libraries, live streaming sessions, and downloadable resources. Once you have started streaming or downloading digital content, the 14-day cooling-off period ends and refunds are no longer available for that portion. Subscription-style access to ongoing course updates is billed in advance and is non-refundable after the first access. If a technical fault prevents access for more than 48 hours, we may extend your access period or offer a partial credit at our discretion.

Failed Payments, Duplicate Charges, Chargebacks and Suspected Fraud

If a payment fails, we will notify you and hold your booking for seven days while you arrange an alternative method. Duplicate charges will be refunded automatically once identified. Chargeback requests are investigated thoroughly; unjustified chargebacks may result in your account being suspended and outstanding balances pursued through debt recovery. We monitor transactions for fraud indicators and may delay or decline bookings that appear suspicious, notifying you by email or phone using the details you provided.

Mandatory Consumer Rights That Cannot Be Excluded

Nothing in this policy affects your statutory rights under the Consumer Rights Act 2015, the Consumer Contracts Regulations, or UK GDPR and the Data Protection Act 2018. You remain entitled to services of satisfactory quality, as described, and fit for purpose. If a course fails to meet these standards, you may be entitled to a repair, replacement, or refund regardless of the time limits stated above. Complaints about service quality should first be raised with [email protected] so we can attempt resolution before you exercise further legal remedies.

Contact Route, Policy Changes and Final Notes

For questions about payments or refunds, please use the contact form on our Contacts page or email [email protected]. We may update this policy from time to time to reflect changes in law or business practice. The version published on the website at the time of your booking will apply. Continued use of the site after changes are posted constitutes acceptance of the revised terms. This policy is governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
